Export Student Posts and Assignments

Exporting your discussion topics, quizzes or surveys, assignments, mail messages, chat room logs, and calendar entries is recommended at the end of each semester to keep a record for each online course. This may be essential for grade challenges. Each WebCT coursesite is removed one year after delivery.

To export Discussion Topics:

  1. From the Teach tab, click Discussions. A list of Discussions appears.
  2. Click the title of the discussion topic you wish to archive. This will open the topic.

  1. Once the topic opens and the postings for that topic are displayed, click the Expand All button.
  2. Place a check in the uppermost checkbox to select all messages in the topic. The uppermost checkbox is to the left of the word Subject.

  1. Scroll down and click the Create Printable View button. A compiled messages dialog box appears.
  2. From the Compile Messages dialog box, click the Save As File button.
  3. If any of the messages in the topic contain attachments, you will receive the following message: “The selected messages contain attachments. Do you want to save the attachments with the messages?” Click the OK button.
  4. A File Download dialog box appears. From the File Download dialog box, click Save.
  5. Navigate to the folder you want to save the discussion topic file in and click the Save button.

Repeat this process for all other Discussion Topics you wish to archive.

To export Quiz (Assessments) or Survey Submissions:

  1. From the Teach tab, click Assessment Manager. The Assessment Manager screen displays.
  2. Click the All tab.

  1. Click the Actionlink of the quiz you wish to archive. The Actionlink for a quiz is located to the right of the quiz title.

  1. From the quiz’s Actionlink, select View Reports. An Assessment Reports screen opens.

  1. Select the Overall Statistics report type and click Run Report. The Overall Statistics screen appears.
  2. Select the Download Records button. A file download dialog box appears.
  3. Click the Save button. A Save As dialog box appears.
  4. In the Save As dialog box:
    1. Rename the file. Give it a name that indicates which quiz it is.
    2. Navigate to the folder you want to save the quiz information to.
    3. Click the Save button
  5. Once saved, open the file in MS Excel or any other spreadsheet program.

Each student’s score and answers to each question of the quiz are saved in the file. Repeat this process for each quiz (assessment) or survey you wish to archive.

To Export Assignment Submissions:

  1. From the Teach tab, click Assignment Dropbox. The Assignment Dropbox screen appears.
  2. From the View by dropdown list, choose the assignment to archive and click the green arrow button.

  1. Click the All tab to view all submissions for this assignment.

  1. Check the uppermost checkbox to select all submissions. The uppermost check box is to the left of the word Title.
  2. Scroll down and click the Create Printable View button. A Compiled Submissions screen appears.
  3. Click the Save to File button.
  4. A yellow highlighted confirmation message appears that includes a link to the compiled submissions.

  1. Right-click the link and select Save Target As…A Save As dialog box appears.
  2. In the Save As dialog box:
    1. Rename the file. Give it a name that indicates which assignment it is.
    2. Navigate to the folder you want to save the submission information to.
    3. Click the Save button
  3. When you need to view an individual student submission, open the .zip file on your computer using a tool such as WinZip (Windows) or StuffIt (Mac). Extract the documents to the assignment folder. Within that folder, a separate folder is created for each student. Each student folders contains comments, submission data, and any attachments for that student.

Repeat this process for each student assignment you wish to archive.

To export Mail Messages (WebCT Mail from within your course site):

  1. From the Teach tab, click Mail.
  2. For the Inbox, place a check in the uppermost checkbox to select all messages in the Inbox folder. The uppermost checkbox is to the left of the word Subject.
  3. Scroll down and click the Create Printable View button. A compiled messages dialog box appears.
  4. From the compiled messages dialog box, click the Save As File button. A File Download dialog box appears.
  5. From the File Download dialog box, click Save.
  6. Navigate to the folder you want to save the discussion topic file in and click the Save button.

Repeat this process for all other mail folders you wish to archive.

To export Chat Room logs (via hard copy archive):

  1. From the Teach tab, click Chat. A list of your chat rooms appears.
  2. Select the Actionlink for the chat room you wish to export. (The Actionlink is to the right of the room title.)

  1. From the Actionlink menu, click View Log. A log of all activity in that chat room appears.
  2. From the list screen, right-click the screen and select Print. A print dialog box appears.
  3. Select the appropriate printer and click Print.

Repeat this process for each Chat Room you wish to archive.

To export Calendar Entries (via hardcopy archive):

  1. From the Teach tab, click Calendar. The Calendar screen appears.
  2. Click the Create Printable View button.
  3. For the date range, choose a start date near the beginning of the semester and an end date near the end of the semester.
  4. Choose Only Show Entries from these Courses, and select the check box next to the relevant course.
  5. For Access level, choose both private and public entries.
  6. Click the Continue button. The printable view appears.
  7. Click the Print button.

Repeat this process for each course calendar you wish to archive.
